Position Summary Information

Essential Duties Summary

1. Support the Director through general office assistance such as drafting correspondences, taking and returning telephone messages, responding to emails as appropriate, scheduling appointments via electronic calendaring, sorting incoming mail, photocopying, faxing, and filing.

2. Schedule and organize meetings for the Director including liaising with other departments such as Development, Alumnae Relations, Event Management, Dining Services or Facilities Services as needed. Assist with publicizing events as directed.

3. Under supervision of the director, and where appropriate support other administrators in the department, answer questions and provide general information related to the business of the Office of Career Development to students, parents, alumnae, various college departments, vendors, employers or other constituents.

4. Using word processing, desktop publishing or other appropriate program/software, draft, proofread and prepare correspondences, mail merges, minutes, manuals, flyers, pamphlets, department newsletter, and other materials as directed.

5. Assist the Director in the maintenance of data and preparation of reports and surveys as needed.

6. Assist with the coordination and reconciliation of the departmental budget by preparing check requests, purchase orders, reconcile department credit card, manage petty cash account, and other bookkeeping as directed.

7. Have a thorough understanding of Accounts Payable and Purchasing policies and procedures. Maintain audit of internal systems to ensure compliance.

8. Maintain inventory of office supplies and order as necessary.

9. May update and maintain portions of the department website as directed.

10. Assist with interviewing, hiring, training, and supervision of student workers.

11. May provide secretarial assistance to other administrators in the department as requested by Director.

12. Perform other related duties as assigned.

Knowledge, Skills, and Abilities

• Strong organizational skills and ability to complete detailed work independently and in a timely manner
• Ability to communicate clearly and correctly, both orally and in writing, with students, alumnae, parents, other employees of the college, vendors and employers in a positive manner
• Flexibility, maturity, sensitivity, tact, judgment, and ability to maintain confidentiality
• Strong computer skills, particularly MS Office, including ability to prepare spreadsheets, use desktop publishing, web software and email.
• Willingness and ability to learn additional computer programs as needed

Required Qualification Summary

• Bachelor’s degree required plus 1-3 years’ related administrative assistance experience

• Ability to lift items weighing as much as 25 lbs., to walk, stand or sit for prolonged periods of time, and to perform customary office tasks such as sitting, walking, standing, computing, and answering telephone for moderate to prolonged periods of time combined with light to moderate reaching, bending and lifting

Salary Range $26.17/hour
